Description

Real Estate and Construction Specialist will be responsible for gathering, coordination and management of the flow of all information between the departments noted (Real Estate, Construction, Design and Lease Administration). The Specialist/Manager is a crucial part of the team gathering, organizing, tracking of all data etc. Maintaining and organizing project documentation, plans and reports; completing tasks and controlling schedules; communicating project progress to team members and other stakeholders.  The Specialist/Manager will also be responsible for the creation and organization of the real estate committee packages and sales projections analysis in Tango for presentation to Exec staff.  This position is the glue that holds together all of the different departments and professions involved in site selection, lease negotiation/renewal, construction, construction schedules, design and lease administration process.

Essential Functions

  • Responsible for organizing and managing project activities, under the direction Real Estate Director, Director Construction and Project Managers (PM)
  • Integral member of the project team responsible for data entry and document management in Project Management system. Data integrity
  • Gather and organize all information for renewals and construction projects from cross functional partners in Facilities, Legal, Operations, RVP’s etc. and external Landlord partners
  • Prepare and organize all new, expansion and renewal deal information for executive REC presentation and/or approval
  • Ability to create required PowerPoint or other presentations for Real Estate, Construction, Design or Lease Administration as necessary
  • Update and maintain status reports accurately and deliver in a timely manner
  • Coordination with architects and contractors to research local codes and regulations to ensure we have accurate local jurisdiction information for permit timing etc.
  • Coordination and ownership of the Construction calendar and all weekly updates and action items; take meeting minutes, project notes and follow up on action items list (Excel Proficiency)
  • Coordinating with Landlords to gain necessary information for project execution (surveys, tenant sales, LOD’s, Haz mat reports, CAD drawings, design criteria and other information etc).
  • Coordinate with PM’s on the review of bids from contractors and ensure all information is uploaded to the Sitefolio or Project Management site
  • Ensure all vendor deliveries and scheduled deliveries for OSI items are on time – in partnership with PM’s.
  • Coordinate with all dept stakeholders to ensure project timelines and deadline are being met, key budget updates are received, and any deliveries or installs are meeting scheduled milestone dates and budgets
  • Entry of all construction project information into our project management system
  • Manage the weekly construction meeting. Manage the information on the construction calendar. Information accuracy is critical.
  • Distribution of the weekly construction calendar and executive calendar to proper stakeholders
  • Support VP Real Estate and Store Development with administrative duties as necessary
  • Other Duties assigned as the business needs require

Educational/ Position Requirements/Competencies:

  • 1-3 years relevant experience supporting multiple people preferably in the Retail Real Estate or Construction field or Financial and Coordination Projects; equivalent experience in similar project environments will be considered
  • Bachelor’s Degree preferred, but not required 
  • High level of proficiency and working knowledge of Microsoft Excel, Word, Power Point, Outlook, Tango, Sitefolio required
  • Demonstrates aptitude and precision working with spreadsheets and presentations
  • Work enthusiastically in a team atmosphere, promoting collaboration and idea sharing verbally and through action 
  • Strong organizational, interpersonal and communication skills
  • Strong quantitative skills, expert problem-solving abilities, adeptness in the use of logic, and above-average communication skills
  • Strong ability to multi-task with multiple projects and deadlines in a “high-volume” fast paced environment 
  • Knowledge of retail real estate and construction processes a must
  • Ability to manage time well and be self-motivated, without direct supervision 
  • Strong client service orientation; proactive working style and friendly, helpful attitude 
  • Commitment to high professional ethical standards

Pay Rate: $75,000 - $85,000/yr depending on background and experience.
